Have you noticed that some clinics set weekly goals, but the numbers seem to fluctuate randomly week to week? Or perhaps your team hits a high mark one week, only to fall short the next? You’re not alone.
The truth is, setting goals without context or strategy can actually send your team backward instead of forward. The good news? There’s a method to set realistic, actionable goals that keep your KPIs moving upward, your team aligned, and your patients engaged.
Let’s explore how goal-setting done right transforms both team performance and patient care.
Goals aren’t just arbitrary targets—they’re a tool to create control over your environment and drive meaningful results. They help your team understand what’s expected, measure progress, and adjust actions to get better outcomes.
At MedPro Dojo, when we review weekly KPIs, we focus on three key metrics:
Total patient visits
New patients and reported findings
Care program acceptance
By tracking these indicators, leaders and teams can make data-driven decisions instead of guessing or setting arbitrary numbers.
One of the most common mistakes is setting next week’s goals lower than the numbers you just hit. For example:
If your team completed 280 visits this week, don’t aim for 260 next week. Instead, aim slightly higher—say, 285.
By using last week as the baseline and building slightly above it, you prevent backward trends and encourage continuous growth.
Setting goals isn’t just about total visits; it’s about understanding the patient mix:
How many new patients started a care program?
How many visits does each patient need per week?
Are some patients transitioning to wellness or reducing visits?
For instance, if 10 new patients start care at three visits per week, that’s 30 additional visits to factor into your weekly goal. By accounting for these sub-indicators, your targets become realistic, measurable, and actionable.
Sometimes the overall numbers might seem low, but you have levers to pull:
Recalls: reach out to patients who missed appointments
Reactivations: bring back patients who paused care
Make-up visits: ensure canceled or no-show patients reschedule
By identifying which sub-indicators affect your main KPIs, you can proactively influence outcomes, instead of waiting for numbers to improve by chance.
When weekly goals are set intentionally and tracked wisely:
✅ Your team has clarity and control over outcomes
✅ Patient care is optimized with structured follow-ups
✅ KPIs trend upward consistently, preventing downward slips
✅ Team accountability and collaboration improve
The goal isn’t just to hit a number—it’s to align actions, measure what matters, and drive continuous improvement.
If your weekly targets are set arbitrarily, or you’re not reviewing KPIs regularly, your team may be unknowingly heading backward. Start by reviewing last week’s performance, accounting for sub-indicators, and setting goals slightly above your previous success.
Small, intentional steps each week add up to big improvements over time.
